ESG evidence checklist for suppliers

Most supplier questionnaires draw on the same small shelf of documents: an environmental policy, a supplier or purchasing code, a health and safety policy, a modern slavery position, and the operational records behind them. If a document does not exist yet, record that honestly rather than inventing one under deadline pressure — a dated gap with a plan is defensible, a backdated policy is not.

Beyond policies, the records that make answers concrete are usually already in the business: energy bills, fuel and mileage records, training logs, incident summaries, and the review dates showing documents are maintained. These turn a generic "yes we have a policy" into "yes — policy dated March, training log attached", which is the difference reviewers notice.

Not all evidence is equal. A useful file is current (reviewed within a sensible period), relevant (actually about what the answer claims), owned (someone is accountable for it), and clearly tied to the specific answer it supports. One well-chosen document beats ten loosely related attachments — volume is not credibility, and a reviewer who has to hunt for relevance starts to doubt it.
